Exhibition Entry Information

General Information
The exhibition will be held online. You will receive further information about the platform and a link nearer the opening date.

Submissions of work are invited from VAS members working in any medium.

This year, due to covid-19 artists will be sending works directly to buyers (see below for more information). Therefore we recommend that all entries be less than 50cm in any one direction not including frame or mount for ease of sending. If you wish to submit bigger works, you must be willing and able to package and arrange postage for your artwork. We ask that you include two prices in your submission application - one price that reflects inclusion of UK postage and packaging and one price that reflects inclusion of international postage and packing.

Image Uploads
Image files should be JPG or PNG and no more than 5MB large. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

Work selected for exhibition will be expected to be for sale. Usually commission is 40% but this year, we have lowered the commission charged by VAS to 30% due to this difficult climate. It will be assumed that the sale prices you submit includes the cost of postage, packaging, any additional insurance for national and international sending, any frame and our commission. Please allow for these points when pricing your work. We require two sales prices outlining national and international costs for all artworks and we have included information below on how to find quotes for these additional postage costs in the 'Delivery and Collection' section.

All communication will be by email. Successful applicants will be notified via the OESS portal and as such it is the artists responsibility to log back in on 20th November to check notifications.

The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.

Artists are responsible for insuring their own work for postage. We will not accept liability for loss or damage occurring during the postage of works to buyers.

Delivery and Collection
Artists are responsible for the packaging and delivery of their work to buyers. Your pricing should reflect this cost – it is advisable to weigh your work pre pricing in order to decide this extra cost for UK postage and packaging. To help you with quotes for costing delivery into your artwork price, we have drawn up a Postage Guidance document which includes a small list of recommended delivery courier services and an outline for how to package and send works. This document is available to view via our website.

By submitting to the exhibition you are deemed to accept and agree to the following:

  • The decision of the Selectors on all matters Is final and no correspondence will be entered into.
  • I understand that The Organisers reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
  • I authorise The Organisers To process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, The Gallery and associated organisations for promotional and publicity purposes.
  • All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
  • I have read and understand that the works must include postage , packaging and insurance estimates within the price given by me as the total artwork cost.
  • I have read and understood these terms and conditions and by submitting this application I accept and agree to observe all the Terms And Conditions therein.
