General Open Submissions for Visual Arts Scotland's Annual Exhibition

Visual Arts Scotland puts contemporary applied arts and design disciplines and their relationship with contemporary fine art at the heart of the debate. We are seeking submissions from artists, makers and designers working in all disciplines for our 2019 Annual Exhibition. VAS represents artists in all fine and applied art disciplines, and seeks to explore the middle ground between the two with its diverse and varied annual exhibition.

Exhibition Entry Information

General Information
The exhibition will be held in the upper galleries of the Royal Scottish Academy in Edinburgh from 26 January - 22 February 2019.

Each artist may submit up to four entries.

Non members will be charged £15 for their first entry and £10 for each subsequent entry. For VAS members the first entry is free, and a small admin charge of £2 will be charged on each subsequent entry. Find out more about membership and how to join VAS HERE.

An additional administration fee of £12 will be charged for each successful submission, with a reduced rate of £8 for VAS members.

There are two seperate submission systems, one for jewellery and one for other artforms. If you want to submit jewellery please return to the landing page and scroll down to the jewellery submission section. You may submit up to four entries in total across both sections, eg two jewellery collections and two in another artform, or one and three, etc. Jewellers, please see the seperate submission system for further details.

Image Uploads
You can upload up to three images per entry. Installation proposals or site specific works can include plans, diagrams or installation mock-ups. If possible/appropriate please include an image of your work in context to give an idea of scale.

Please caption your images with your name, the title of the work and a photographers credit if applicable. Eg, Becca Pollard_Floral Still Life_Martin Smith.

Image files should be JPG and no more than 5MB in size. Upload time will depend on your internet connection speed so please be patient. If you are having problems uploading your images please use image editing software to resize your image to approximately 1600 pixels wide and then save as a new file. Image file names should not be too long and should not contain any invalid characters such as ' " & % * ( ) < > / \ ~ # + =

Commission on sales of 40% will be deducted from the price you have provided. Please allow for this when pricing your work.

The Selection Committee will select the works for the exhibition. The Selectors will consider all correctly completed submissions. The decision of the Selectors on all matters is final and no correspondence will be entered into.

Pre-selection results will be announced online in the week beginning 17 December. Artists should log in to their OESS application to see the results and further instructions.

All pre-selected works will be subject to final selection by the jewellery co-ordinator on delivery to the gallery. If your work is not exhibited you will be notified before the opening of the exhibition and your work should be collected from the gallery on Thursday 24 November.

Note: one of the most common reasons for a pre-selected work not being hung is inappropriate framing. We advise you to frame your work in a way that both suits the work, and is suitable for hanging amongst other artworks. The framing or presentation should not be more dominant than the work itself. Very elaborate or dark frames are distracting in the context of a group exhibition, and prove very difficult to hang.

Sculptors and applied artists must provide a suitable floor standing plinth display their work. Plinths should be minimal in design, in white or very pale grey, closed box plinths are preferred. Please mark any display equipment provided clearly with your name and a contact number. All display equipment must arrive ready for use as no painting is permitted within the gallery. Artists must be prepared to supply a plinth if requested to do so by the Council.

If your work requires any special mechanism or fittings for display please include them when you deliver your work along with clear instructions. Otherwise all works should be delivered free from fixtures and fittings, we will supply and fit mirror plates.

No metal frames or works with wet paint will be accepted. The artist is liable for the cost of any damage caused to other works by such items.

If your work has any special installation requirements, eg suspended items, any extra costs incurred must be borne by the artist.

Please specify in the artwork description field if your work requires electrical input. All electrical items need to be PAT tested on delivery by the NGS’ own contractors, we will arrange this and charge a fee of £5 per item.


No work can be entered which has already been publicly exhibited in Edinburgh where a charge has been made for admission.

No work will be exhibited that has also been shown or will be shown in the SSA, RSW or RSA open exhibitions.

No reproductions or copies of any kind will be accepted. Giclee prints will only be accepted for photographic entries.

Artists do not need to be Scottish or have a Scottish connection to exhibit. Please note however that all pre-selected works need to be delivered to the gallery by the artist or a nominated representative, we cannot accept submissions by post.

All artworks are exhibited at the risk of the artist and we recommend that you take out your own insurance.

Delivery and Collection
Works must be delivered in person on Sunday 20 January 2019. Due to building works in the NGS precinct at this time parking will be severely restricted and available by request only. We recommend that you arrive by public transport, or park nearby and come on foot if possible. For larger items we would recommend that you enlist the services of one of our recommended carriers, or work together to deliver a group of artists’ works in one vehicle. We have a Facebook group for VAS members to liaise on topics such as this.

Please download your labels and attach them to your work following the instructions, and bring a copy of your submission form to the gallery.

Please attach a permanent label to your work with name, title, price and a contact phone number.

All packaging materials must be removed from site on delivery, we do not have storage or disposal facilities for packaging materials for 200+ artists.

Artists are responsible for arranging the collection of their own work if delivered by carrier.

We cannot accept late submissions, works that arrive after this date will not be included in the exhibition.

Collection of unsold works in on Sunday 24 February from 10am – 4pm. Works not collected by this time will be removed to storage at the artists expense, and the artist must make arrangements to retrieve the work. Any items uncollected after one month will become property of Visual Art Scotland.

By submitting to the exhibition you are deemed to accept and agree to the following:
The decision of the Selectors on all matters Is final and no correspondence will be entered into.
I understand that The Organisers reserves the right to make such changes to the exhibition arrangements and these Terms & Conditions as may be deemed necessary by circumstances.
I authorise The Organisers To process, store, and utilise the data in my submission and agree that, if selected for exhibition, images of my work can be freely used by The Organisers, The Gallery and associated organisations for promotional and publicity purposes.
All information provided by me is true and accurate and that the work submitted is wholly of my own creation.
I have read and understood these terms and conditions and by submitting this application I accept and agree to observe all the Terms And Conditions therein.
